What is the Templates page in x.doc?

Overview


The Templates page in XTEN-AV is used to create, manage, and organize reusable document templates. These templates help standardize documents such as proposals, reports, contracts, cover pages, scope documents, and other customer-facing or internal documents. Instead of creating documents from scratch every time, users can build templates once and reuse them across multiple projects.


This page improves consistency, reduces manual work, and ensures that every generated document follows the organization's preferred format and branding.


to navigate to the template page kindly clicking the X-Doc tab and then selecting Templates from the left navigation menu.


The Templates page will open with the title Manage Templates.



At the top of the page, you will see the title Manage Templates. Below the title, you will find the Gallery section, which contains a collection of pre-designed templates provided by XTEN-AV.


These templates are organized into various categories, such as Business, Building Management System, and others, allowing you to quickly find a template that matches your requirements. You can also select the All category to view all pre-defined templates available in XTEN-AV.




When you hover over a template in the Gallery section, two options will appear: Preview in the center of the template and the three-dot menu in the top-right corner.



Click Preview to open the selected template in full-screen view. On the top- right side of the page, click the Use This Template button to create a new proposal using the selected template. You can also click the Back button to return to the Manage Templates page.


When you click the three-dot (More Options) menu, the Create Template option will appear. Click Create Template to open a pop-up window.



enter the template name, and then click the Create button to create the template.


The newly created template will be available in the My Templates section under the Proposal subcategory.


To navigate to the X-DOC Dashboard, click the X-DOC Dashboard button.


You will be redirected to the X-DOC Dashboard.


On the Manage Templates page, you can use the Search bar located in the top-right corner to quickly find a template. Enter the template name or any relevant keyword, and the matching templates will be displayed automatically.


Simply enter the template name or a relevant keyword in the search bar. The system will automatically filter and display the templates whose names contain the entered value.


The My Templates section contains two subcategories: Proposal and Scope of Work.


The Proposal subcategory contains all proposal templates created by the user, copied from the Gallery, or uploaded to the XTEN-AV system.


To create a new proposal template from scratch, click the + (Plus) icon.


A pop-up window will appear where you can enter the proposal name. After entering the name, click the Create button to create the proposal.


The newly created proposal template will be displayed under the My Templates section in the Proposal subcategory.


When you hover over a template, three options will appear: Edit, Preview, and the three-dot menu.



Click Edit to open the proposal template in the X-DOC Editor. After making the required changes, click Save Template to save your edits. Click the Back button to return to the Manage Templates page.


Click Preview to open the template in preview mode. In the top-right corner of the page, you will find the Edit Template option to open the template in the X-DOC Editor and the Use This Template option to create a new proposal using the selected template. To return to the Manage Templates page, click the Back button located in the top-left corner.


when you click on 3 dots. you will find following options: Mark as Default, Replicate Template, Share and Delete.


Mark as Default: to make the template as default to create proposal.
Replicate Template: to copy the template.
Share: to share to different group.
Delete: to remove the template permanently.


If you have created the template in the doc or PDF format you can upload the same in the system by clicking on the Upload Template.


When you clicking on the Upload Template option a window will pop to select the file you want to upload. Select the file and click on Open button located in the bottom right of window.


NOTE: only doc and PDF format file can be selected.



Uploaded template will be visible on the template page under the My Templates section.
