How to create and manage a Payment Schedule in an X-Doc?

Overview


The Payment Schedule feature in X-DOC allows you to define how and when your client will make payments for a project. You can divide the total proposal amount into multiple payment milestones, such as an initial deposit, payment before installation, and the remaining balance upon project completion. This makes it easier to clearly communicate the project's payment terms to your client within the proposal.


  • Inside the X-Doc Editor. Click on the Add Section or (+) icon.



  • From the section list, select Payment Schedule



  • Click on the Add Section button to add the Payment Schedule section to your proposal.


  • Click the + Add Milestone button.



  • A pop-up will appear where you can enter the Payment details. You can configure the following options:


Label: Enter a name or heading for the payment milestone. For example, Deposit.


Amount Type: Select the amount type from the following options:


  • Percentage
  • Fixed Amount
  • Remaining Balance


Percentage: When you select Percentage under Amount Type, you can choose which portion of the proposal the percentage should be calculated from:


  • Proposal Total
  • Equipment Only
  • Labor Only


Select the required option and enter the percentage you want to collect.


For example, if you select Proposal Total and enter 10%, the milestone amount will be calculated based on 10% of the total proposal amount.



  • Once you enter the percentage, the Remaining Unallocated Amount will be displayed at the bottom of the pop-up.




  • Fixed Amount: When you select Fixed Amount, enter the specific amount you want to collect from your client.



  • Remaining Balance: When you select Remaining Balance, the amount will be calculated automatically based on the amount remaining after all other payment milestones have been allocated.



Payment Due Options


Under the Due option, you can select when the payment should be collected from the client:


  • On Acceptance
  • Fixed Date
  • Relative (days after acceptance)
  • Other
  • On Acceptance: The payment will be due when the proposal is accepted by the client.



  • Fixed Date: Select a specific date on which the payment will be due.



  • Relative (days after acceptance): Enter the number of days after proposal acceptance when the payment will be due.



  • Other: Enter a custom message to specify the payment terms.



Add the Milestone


Once you have entered all the required details and selected the appropriate options, click Add Milestone. The added milestone will then be displayed in the Payment Schedule section of your proposal.



  • Under the Payment Schedule section, you can view the payment status, including the amount that has been scheduled and the amount that remains unallocated.



Notes


  • If there is no value in your proposal for Equipment or Labor, you will not be able to schedule a payment based on that category.
  • You can add multiple payment milestones to a proposal.
  • The Remaining Balance option automatically calculates the amount left after other milestones have been allocated.
  • Make sure the total allocated amount is appropriate for your proposal before adding the payment milestones.
